The Project Retrospective: Capturing Lessons Learned

Vince Lombardi said, “Perfection is unattainable, but if we strive for perfection, we can achieve perfection.”

I have noticed that the most underutilized project management best practice is the retrospective. They say that those who refuse to learn from history are doomed to repeat it, I think this also applies to project management successes and failures.

I once worked with a project manager who was so committed to success that he made sure we met as a team after each project to discuss what we did well and what we could improve. He believed Jack Welch when he said, “I learned that mistakes can often be as good a teacher as success.” Moreover, he himself readily accepted constructive criticism, which made it easier for the rest of the team to do the same.

As a team, we knew that the retrospective process was an important tool to help us improve. This project manager made it a point to celebrate our successes and learn from our failures.

I believe that successful project management is more of an art than a science. Regardless of the project and portfolio management methodology you choose, much of your work management success comes from implementing best practices learned while working on real projects. Knowing how to apply successful practices is easy, but as former Dallas Cowboys football coach Tom Landry said, “I’ve learned that every failure brings something constructive.”

Perhaps it was the approach of a new year that prompted me to think about a project retrospective, but now is as good a time as ever to undertake a regular program of considering and applying the lessons learned during each project.

As Oprah Winfrey said, “Happy New Year and another chance for us to get things right.”

Project Management Software: The Key to Successful Implementation

As a teenager, I worked in my father’s warehouse. He had a small industrial metal construction company and I took orders and swept floors. In his mind, there were only two ways to do things: his way or his way. This attitude even included the way I swept the warehouse floor. Not unlike many teenagers, I sometimes asked, “Why do I have to do it the way I do?”

“Because I told you to,” would be his reply.

As much as I hate to admit it, he was often right. However, he was not always right.

How many times have you heard, “We decided to implement such and such software. Johnson, do it.’

Hopefully this isn’t the norm and your business suite doesn’t operate this way, but the “my way or the highway” style of management still exists. I was talking to our CEO the other day and he said, “The project management style just doesn’t work. The key to successfully implementing project management software and achieving favorable work management outcomes depends on how successfully you can engage the workforce in the process.”

I agree. It doesn’t matter if your project software was a good choice if you can’t get the workforce to use it. Even an order from above: “You will use this software – your job depends on it” – is no guarantee of success.

For example, I once worked for an advertising agency that purchased software to help us track projects and record time for invoicing. We thought this would help make our invoices more accurate and improve productivity. Unfortunately, it was difficult to use, so the creative team didn’t do it. They kept track of their time in a notebook and updated the software when it was convenient (usually after I went around complaining to them).

We never got to see the real benefits of the software because we couldn’t get the workforce involved in the process. We just assumed they would use it because we needed the information. It just didn’t seem to work that way.

The successful implementation of project software depends on the participation of the workforce. Making it easier for individual project team members to use the software will allow project managers to have real-time access to the critical project data they need and provide managers with the timely and accurate information they need to make informed decisions.
